Reactivate users added via 3rd party system to report on them.

Users activated and deactivated via a third party app cannot be manually deactivated or activiated. However, we have had a number of cases where we needed to print reports for the deactivated users. However we were unable to because they were deactivated. It would be helpful to temporarily activate the users for reporting purposes. Alternatively admins should be able to view insights even when a user is deactivated.

To remedy this - you can now see all deactivated Users' learning history.
Just visit the Users tab, filter by "Deactivated" and you can see everything they've previously learnt.
This way, you aren't using your licence cap to view inactive users' information.

Alfie from HowNow: I have just logged in and cannot view any learning history. It does not allow me to click on the user so I cannot drill down.
Alfie from HowNow
Tiffany Gierke: Right now - the Users page will only show content viewed, content completed and must do's completed to unblock customers for compliance reporting purposes.
Longer term, we will introduce the full learning history!

Alfie from HowNow: So just values i.e. 36 pieces of content viewed? No drill down?
Alfie from HowNow
Tiffany Gierke: Yes that's correct - we are looking to introduce the full learning history as the next phase of this improvement :D

Hi Tiffany Gierke
- Can you give me some information about which third party system you're referring to?
- What's the purpose of reporting on deactivated users for your business?

Alfie from HowNow:
All our users are saved n HubSpot, our CRM. They then get pushed through to HowNow via an FTP (an API in the near future). The deactivation of users is automatic i.e. date driven. Once they reach an expiry date, they no longer have access.
Sometimes our customers request reports for the users after the expiry date. But we cannot do this.
I think it is beneficial to have access to a deactivated users history for individual as well as general reporting. You may want to get stats based on learning for 2022 but if the deactivated learners records are excluded it is inaccurate.
Alfie from HowNow
Tiffany Gierke: Thanks for sharing! That makes a lot of sense.
Would it be safe to say that the value here is that you'll be able to see deactivated users learning history for historical reporting purposes rather than a 'reactivation' of the user themselves?
How long would you like for HowNow to keep a users records?
T
Tiffany Gierke
Yes, exactly, I'd rather have the learning history records visible and not the user made active. It would help then to have a filter for users, active/inactive/all. The data should be available for at least 3 years.
Alfie from HowNow
Tiffany Gierke: That makes sense, thank you!
What's the reasoning behind three years? Is this aligned with your own record-keeping/compliance standards?
T
Tiffany Gierke
Alfie from HowNow: Yes, it is. It takes 3 years to become certified so would need to track at least three years.
